Venista AI Studio · AI systems house
AI agent teams for mid-sized companies. Built and operated.
We take on one specific process with a connected AI agent team: linked to your business systems, working with your operational knowledge. The first process is set up as a fixed-price pilot in two to four weeks. Afterwards we run, monitor and maintain the system as a managed service.
The starting point
The structural gap.
Mid-sized companies have discovered AI, but hardly anyone has integrated it. Yet the difference now shows in the numbers: in a survey of 2,068 companies, 76% of small and mid-sized companies using AI reported a positive net return on sales, compared with 46% of those without AI. For the German Mittelstand, KfW Research finds a return on sales 0.9 percentage points higher among AI users, after controlling for other success factors.
A correlation, not a guarantee: whether AI is the cause or successful companies simply adopt AI earlier remains open. What is certain is that the reason for hesitating is rarely a lack of will. Individual tools sit side by side without being connected. The next step calls for in-house people who aren’t there, and the traditional IT provider doesn’t cover this ground. So the question is no longer whether, but how fast, and at what risk.

Where you stand
Five stages to an agent organisation.
Most mid-sized companies sit at stage 2 or 3. The benefit stays limited there, because the tools are connected neither to the business systems nor to each other. That is exactly where we start, and we take you to stages 4 and 5.
01
Awareness
The topic is on the agenda, but it hasn’t reached day-to-day operations.
02
Isolated use
Individual employees use language models for writing and research. Unconnected, with no access to your data.
03
Standardised
A company-wide assistant is in place. It helps with writing, the processes stay as they are.
04
AI workflows
Recurring processes run automatically, connected to your business systems.
05
Agent organisation
Specialised agent teams work together, coordinated by an orchestrating layer.
The jump works without restructuring your organisation: the agents slot into your existing teams and tools, no new structure, no transformation programme.
What we deliver
Your knowledge. Agents that work.
01
Connectors
Integration with your existing systems, from ERP, accounting and CRM through to metering, machine and production data.
02
Industry knowledge
Sector fundamentals as the foundation, the expertise about your own business stays with you.
03
Knowledge capture engine
The managed engine that turns your company-specific knowledge into working agents with little effort, and keeps them running.
Use cases
Where our agents work.
Eight use cases from our own operations and from pilot projects, each with brief, process, systems and limits in detail.
01
Energy management
Spot load peaks, forecast consumption, control costs, before they show up on the bill.
02
Finance & controlling
Consolidated closings, automatic payment reconciliation and early liquidity warnings, at the push of a button.
03
Data analysis & reporting
Pull data sources together, check the numbers before analysing them, quantify instead of describe.
04
Customer service
Tickets enriched with context automatically, staff get well-founded draft replies straight away.
05
Product & engineering
The engineering team that reads along: monitoring, root-cause analysis down to the line of code, tickets in your system.
06
Marketing
Performance marketing end to end, analysis, creation and rollout in one system, with a human at the gate.
07
Operations & DevOps
Operations monitoring with no staff involved, database check and narrowing down in minutes instead of hours.
08
End-of-life mails to tickets
Vendor end-of-life, maintenance and discontinuation notices become verified tickets with deadline, priority and owner.

Which process would be your first?

Why Venista
Practised, not promised.
From our own practice
Across our own group of companies we run exactly what we offer, from accounting and data analysis through to customer service. We don’t recommend anything that isn’t running with us.
Close at hand
Proximity and a real track record instead of consultancy reference slides. People you can actually reach.
Model-agnostic
We don’t tie ourselves to a single vendor, we pick the foundation that fits the task.
Data protection & security
Your data stays your data.
AI in a company rarely fails on the technology, it fails on legitimate questions of confidentiality and control. That is why data protection isn’t an add-on for us, but part of the architecture.
Servers in Germany
Operated in the EU, GDPR-compliant. Entirely on your own infrastructure if you prefer.
Read, not write
Agents read data. Anything written requires explicit approval.
Separated permissions
Every agent receives only the permissions its task requires.
People decide
Critical steps go through approval by your own staff.
No training on your data
Your data is never used to train models, contractually excluded.
Access secured
Credentials are kept per team in a password vault, never with the agents.

How we start
From pilot to partnership.
Step 1 · Entry
Fixed-price pilot
A clearly defined project in two to four weeks, at a fixed price. A demo instead of slides, you see the benefit on the running system before committing long term.
Step 2 · Relationship
Ongoing partnership
Operation, maintenance and expansion as an ongoing managed service. Maintenance included, expansion as a package. Renewal happens because the benefit is visible, not because a contract locks you in.
Frequently asked questions
What you should know about the AI Studio.
Short answers to the questions asked most often in first conversations.
What is the Venista AI Studio?
The AI Studio is the AI systems house of Venista Ventures in Cologne. We develop, integrate and operate AI agent teams for mid-sized companies: agents that are connected to your business systems, use your operational knowledge and take on one specific process. The entry point is a fixed-price pilot; afterwards the system continues as a managed service, run and maintained by us.
What does the fixed-price pilot include?
One defined process, one agent team for it, connected to your real systems and data. Included are concept, set-up, integration, briefing of your contact person and a demo on the running system. Not included are changes to your business systems and processes without an owner on your side. Your effort: one contact person and data access.
How long does the roll-out take?
Two to four weeks from start to running pilot. The clock starts once the process is defined and access to the relevant systems is in place. The first weeks in operation are learning time: corrections are recorded as rules, after which the team becomes more accurate on its own.
Which processes are suitable?
Recurring, rule-based processes for which data exists in systems and which have a clear process owner. Examples: payment reconciliation, operations monitoring, ticket enrichment, analyses across several data sources, end-of-life notices to tickets. Less suitable are processes without stable rules or without machine-readable data.
How are our systems connected?
Via the interfaces and exports of the existing systems: ERP, accounting, CRM, ticket system, databases, hosting, mailboxes, file storage. Usually read-only; writing only where you allow it, such as tickets or drafts. Legacy systems without an interface are connected via exports or database access. No new tool is created for your team.
What happens after the pilot?
The support agreement: we run, monitor and maintain the agent team as a managed service. This includes monitoring, adjustments when your systems change, adding new rules and a fixed contact for incidents. Extension to further processes is done as a package. Renewal happens because of visible benefit, not because of contractual lock-in.
Who is the offer suitable for?
For mid-sized companies with their own business systems and recurring processes: manufacturers, retail, software and platform operations, service providers with finance, service or data processes. The prerequisite is a contact person who knows the process and has time for questions.
How is our data protected?
Operation on servers in Germany, on request in your own infrastructure. Agents read; writing happens only after approval. Each agent gets only the rights its task requires; credentials are kept in a password vault, not with the agents. All actions are logged. No training of models with your data, excluded by contract. Data processing agreement before the first data access.
When is the AI Studio not the right fit?
When there is no process owner, the process still changes weekly, or the data lives only in people’s heads rather than in systems. Likewise if you are looking for pure strategy consulting or want to build the solution entirely yourself. In those cases we say so in the first conversation.
